What We’re Looking For

The Finance & Operations Administrator owns the day-to-day finance, bookkeeping, billing, and contractor operations, ensuring core financial workflows run cleanly, accurately, and predictably.

The role first focuses on learning and stabilising existing processes, then simplifying, documenting, and improving them so month-end close, payments, cost control, and contractor workflows operate smoothly with minimal founder involvement.

This is a hands-on, execution-driven role, not a strategic finance position. Success comes from running the fundamentals exceptionally well and steadily systemising operations over time.

Core Responsibilities

  • Own day-to-day bookkeeping and month-end close in Xero, ensuring clean, accurate, and audit-ready records
  • Manage billing, payments, subscriptions, refunds, failed payments, and chargebacks across processors
  • Maintain visibility and reporting on cash position, revenue, refunds, and payment performance
  • Oversee contractor administration and payments, including invoice validation, Hubstaff reviews, and audit-ready proof of hours
  • Manage intercompany invoicing and supporting documentation
  • Own oversight of recurring expenses, software subscriptions, and company cards, including basic fraud-prevention checks and cost control
  • Act as the finance point of contact for Sales, Client teams, and external accountants
  • Document finance workflows, implement practical process improvements and light automation, and reduce manual work over time

What Success Looks like (60-90 days)

  • Finance and contractor processes fully documented
  • Month-end close running smoothly and predictably
  • Billing, chargebacks, and failed payments under control
  • Founders no longer managing day-to-day finance details
  • 2–3 meaningful process improvements adopted

Requirements

Ideal Profile

  • Highly organised, analytical, detail-driven
  • Comfortable owning execution in a startup environment
  • Calm, reliable, and professional under pressure
  • High integrity handling sensitive financial data

Skills & Experience

  • 4+ years in bookkeeping or finance operations (SME/startup preferred)
  • Strong Xero experience
  • Advanced Excel / Google Sheets
  • Comfortable using AI tools with validation
  • Experience with contractors and multi-entity setups is a plus
