Salary Range
R18 000 – R20 000 per month (Cost to Company), dependent on experience and qualifications
About the Role
We are seeking a highly organized, energetic, and customer-focused Event Coordinator to support the planning, coordination, and execution of medium to large-scale corporate events. The successful candidate will be responsible for coordinating event logistics, managing supplier quotations, providing administrative support, and ensuring the seamless delivery of events from concept to completion.
This role requires an individual who thrives in a fast-paced environment, has strong administrative capabilities, and can manage multiple priorities while maintaining exceptional service standards.
Key Responsibilities
- Coordinate and assist with the planning, administration, and execution of internal and external events.
- Support the delivery of conferences, banquets, team-building activities, staff launches, awards ceremonies, and other corporate functions.
- Liaise with internal clients to understand event requirements and ensure expectations are met.
- Source and obtain supplier quotations for venues, catering, décor, technical equipment, transportation, accommodation, and related event services.
- Compare and evaluate quotations, negotiate pricing where appropriate, and ensure cost-effective solutions are implemented.
- Prepare event proposals, schedules, confirmations, purchase requisitions, and event documentation.
- Coordinate suppliers and service providers to ensure timely delivery of services.
- Monitor event budgets and assist with financial tracking, reconciliations, and reporting.
- Provide comprehensive administrative support, including filing, document management, reporting, and record keeping.
- Coordinate onsite event logistics and supervise suppliers during event setup, execution, and breakdown.
- Ensure compliance with health and safety requirements before, during, and after events.
- Support Event Managers and stakeholders with operational and administrative event-related requirements.
- Conduct post-event evaluations and maintain accurate event records and reports.
Minimum Requirements
Qualifications
- Matric (Grade 12).
- Higher Certificate or Diploma in Hospitality Management, Event Management, Marketing, Business Administration, or a related field.
Experience
- Minimum 3 to 5 years’ experience in event coordination, hospitality, conference management, or a similar role.
- Proven experience in obtaining and managing supplier quotations.
- Strong event administration experience.
- Experience coordinating medium to large-scale corporate events will be advantageous.
- Experience working with budgets, supplier management, and stakeholder engagement.
