PART-TIME TENDER, RFQ & BUSINESS DEVELOPMENT COORDINATOR

On The Ball College | Cape Town / Hybrid

On The Ball College is seeking a highly organised, deadline-driven and experienced Part-Time Tender, RFQ & Business Development Coordinator to support the organisation with tender submissions, RFQs, proposals, supplier registrations and related business administration.

We require someone who can take ownership of the administrative tender process from identifying an opportunity through to preparing a complete submission pack for management approval.

Key Responsibilities

The successful candidate will:

  • Search for relevant tenders, RFQs and business opportunities
  • Monitor tender portals and client/vendor platforms
  • Maintain a Tender & RFQ Opportunity Register
  • Download and review tender/RFQ documentation
  • Identify mandatory requirements and submission criteria
  • Summarise opportunities for management
  • Coordinate tender deadlines and briefing sessions
  • Prepare tender/RFQ compliance checklists
  • Compile supporting documentation
  • Assist with completing tender schedules and forms
  • Coordinate quotations and pricing information for management approval
  • Assist with proposal preparation and formatting
  • Prepare submission packs
  • Conduct final administrative compliance checks before submission
  • Upload electronic tender/RFQ submissions where authorised
  • Maintain records of submitted and unsuccessful bids
  • Track tender/RFQ outcomes and follow-ups
  • Maintain supplier/vendor registrations
  • Assist with quotations and business proposals
  • Conduct basic business and client research
  • Provide general business-development administrative support when required

Tender-Ready Compliance File

The person will be responsible for ensuring OTBC maintains an organised and current tender/compliance repository containing applicable documents such as:

  • Company registration documents
  • Tax compliance information
  • B-BBEE documentation
  • Banking confirmation
  • Company profile
  • Relevant accreditations
  • Qualifications/programme information
  • References
  • Previous project experience
  • Standard declarations and supporting documentation
  • Director/company information where required
  • Other commonly requested tender documentation

Requirements

Applicants should have:

  • Previous practical experience preparing tenders, RFQs, bids or proposals
  • Excellent Microsoft Word and Excel skills
  • Strong document formatting skills
  • Excellent written English
  • Strong attention to detail
  • Ability to interpret tender requirements
  • Strong administrative and research skills
  • Ability to work independently
  • Excellent deadline management
  • Experience maintaining compliance documentation
  • Ability to work with confidential company information

Experience within training, skills development, education, SETA, corporate training, ICT or government procurement environments will be advantageous.

Important

  • This position requires someone who is proactive and able to take ownership of deadlines.
  • The successful person should not require management to continuously remind them of submission dates or outstanding documentation.

Shortlisted candidates will be required to complete a practical tender/RFQ assessment.

Engagement: Part-time / Contract
Hours: Flexible, based on agreed deliverables and deadlines
Location: Cape Town / Hybrid-Remote
