Client Communications & Executive Assistant Job Opportunity at BriskFlow | Hybrid Pretoria
BriskFlow is a growing SaaS business serving multi-branch clients nationally. We’re hiring a high-trust person to become the front door for client communication and a trusted assistant to the Directors.
This is not a “just admin” role. Your job is to bring order, protect the Directors’ time, and ensure client requests are handled professionally and driven to completion.
Start Date: As soon as possible
What success looks like (non-negotiable outcomes)
- Clients get fast, clear, professional communication.
- Nothing falls through the cracks: every request is logged, assigned, followed up, and closed.
- The Directors regain focus time because you handle the bulk of day-to-day client communication and coordination.
Key responsibilities
- Manage inbound client communication (email + WhatsApp; calls when needed)
- Draft professional replies, follow-ups, confirmations, and updates
- Convert client requests into actionable tasks (support queries, feature requests, onboarding/data requests)
- Run a task register: priorities, owners, deadlines, next steps, status
- Follow up internally until completion, escalate when necessary, and close the loop with the client
- Support the Directors with scheduling, reminders, meeting notes, action lists, and ad hoc coordination
- Keep communication structured: clear summaries, clear next steps, no ambiguity
The person we’re looking for
- Highly organised and detail-driven (checklists and structure come naturally)
- Calm under pressure and consistently professional with all personality types
- Confident, tactful, and able to push for answers and deadlines without being rude
- Strong written communication (excellent English; Afrikaans beneficial)
- High integrity and trustworthy (this role involve sensitive access)
Requirements
- 3+ years in a role requiring professional client communication + coordination
- (EA, client success/support coordinator, office manager, project/account coordinator, senior administrator)
- Confident with email, calendars, documents and spreadsheets (Google or Microsoft)
- Able to work independently and take ownership
- Reliable internet, laptop and transport
Location
Cape Town preferred (Northern Suburbs ideal). Hybrid/remote possible for the right person, with availability for occasional in-person sessions.
