We are seeking a highly organized and experienced Administrator/Receptionist to join our team. The successful candidate will play a key role in ensuring the smooth day-to-day running of the office, overseeing all aspects of office administration and providing professional front-desk support. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities

  • Welcoming clients, guests, and staff in a professional manner.
  • Efficiently manage daily incoming and outgoing calls.
  • Coordinating calendars, booking meetings, and confirming schedules.
  • Preparing agendas, minutes, and presentations.
  • Provide admin support to the Managing Director
  • Sending memos, updates, and notices to staff members
  • Keeping the front desk tidy and professional.
  • Prepare, compile and submit SHEQ tender documents
  • Manage company’s general administrative activities
  • Filing, scanning, and organizing records.
  • Updating databases, spreadsheets, and internal systems.

Minimum Requirements

  • 3–5+ years proven experience in Administrator/Receptionist
  • Clear verbal and written skills for dealing with staff and clients
  • Proficient in Microsoft Office (especially Outlook, Excel and Word)
  • Handling unexpected issues calmly and efficiently.
  • Prioritizing tasks and managing time effectively.
  • Strong administrative, coordination, and communication skills
  • Excellent attention to detail and ability to meet strict deadlines

Advantageous

  • Diploma/ Degree in Office Administration or any related field.
  • Experience working with construction or facilities management tenders
