I’m looking to bring on a part-time support assistant to help with operations, accounting administration, and payroll/HR administration.
This is a hands-on support role (hybrid, both remote and in-office) focused on execution and reliability, following established processes, working accurately in various systems, and communicating clearly when work is urgent or time-sensitive.
This role does not include providing advice, making financial or HR decisions, or independently submitting statutory returns unless explicitly authorised and trained to do so.
Accuracy, follow-through, and responsiveness matter more to me than titles or years of experience. I’m less concerned about formal qualifications and more interested in someone who is:
- Organised and detail-driven
- Comfortable with admin and systems (SAGE, Excel, SARS portals etc)
- Able to follow structured processes and SOPs
- Dependable and responsive during working hours
- Looking for flexible, part-time work
- Comfortable working under pressure when required
Hours may fluctuate based on operational requirements. Remuneration will be based on hours worked, experience, and current business requirements. There is scope for the role to grow over time for the right person.

Job Title: Operations, Accounting & Payroll Support Assistant
Role Purpose:
To provide reliable operational, accounting, and payroll administration support by accurately executing defined tasks in line with established SOPs, under instruction, and within agreed timelines.
Key Expectations:
- Reliable availability during agreed working hours
- Prompt acknowledgement of urgent requests, even if the task cannot be completed immediately
- Meeting agreed timelines and deliverables
- High attention to detail and accuracy
- Adherence to provided SOPs and instructions
- Clear communication when delays or issues arise
- Escalation of uncertainties rather than independent decision-making
- Maintaining confidentiality and discretion at all times.
Core Responsibilities:
Operations Administration
- Capturing and maintaining product information on the system, including:
- o Raising new styles/items
- o Modifying existing styles (colour, size, season)
- Raising and maintaining purchase orders and quantities
- Creating ASNs (Assigned Shipping Notices) for warehouse/store allocation
- Preparing Excel templates and pivot tables for:
- o Stock allocation
- o Merchandise planning
- Capturing and maintaining monthly budgets
- Adjusting stock variances on the system as instructed
- Processing staff discounts
- Inactivating closed lay-by accounts
- Filing and maintaining operational records.
Accounting Administration
- Loading supplier invoices, credit notes, and discounts onto SAGE
- Preparing and reconciling supplier age analyses by comparing supplier statements to system reports
- Balancing daily takings (credit card and cash) to bank statement on SAGE
- Capturing and allocating bank transactions on SAGE
- Allocating month-end cash sales receipts to client invoices
- Assisting with bank reconciliations
- Loading VAT returns on SARS under instruction
- Filing and maintaining accounting records.
HR & Payroll Administration
- Assisting with payroll processing, including:
- o Loading leave forms
- o Capturing bonuses
- o Printing payroll reports
- Preparing and submitting UIF declarations
- Loading EMP201s on SARS under instruction
- Filing and maintaining payroll and HR documentation.
Skills & Competencies
- Strong administrative and organisational skills
- Computer skills, especially comfortable working with Excel (including basic pivots/templates)
- Ability to work independently whilst following structured processes and SOPs
- High reliability and responsiveness
- Ability to work under time pressure when required
- Ability to analyse information accurately
- Problem-solving ability
- Good written and verbal communication skills
- A relevant qualification is advantageous but not essential
- Experience with an accounting practice or related financial operations is advantageous but not essential
- An understanding of payroll taxes and regulatory compliance is advantageous but not essential
- Proficiency in accounting and/or payroll software is a plus.
