Job Overview
The Mundaca Law Firm is seeking a reliable and detail-oriented Administrative & Financial Operations Assistant to support our legal operations. This role combines administrative support, billing coordination, client follow-ups, and financial tracking, while also serving as backup phone support for reception when needed.
The ideal candidate is organized, proactive, and comfortable managing multiple administrative and financial tasks in a remote environment. A background in billing, sales, or financial administration is preferred.
Key Responsibilities
- Prepare and send client retainers and follow up with prospective clients
- Monitor the intake pipeline to ensure submissions and documentation are complete
- Assist with billing preparation and internal financial reports (AR, WIP, trust accounts)
- Coordinate with attorneys to monitor case trust balances and request replenishments when necessary
- Process payments, send billing notifications, and maintain accurate financial records
- Track trust account activity and follow up on pending or failed payments
- Conduct weekly administrative and operational reviews to ensure workflows remain on track
- Provide backup coverage for the main office phone line and assist with client communications
Qualifications
- Experience in administrative support, billing, finance, or sales preferred
- Strong organizational and time management skills
- Excellent written and verbal communication
- Ability to manage multiple tasks and follow structured workflows
- Professional phone etiquette and strong client service skills
- Experience with legal, CRM, or billing systems is a plus
