We are currently a two-person team building something deeply impactful, and we’re looking for a highly organized and motivated Administrative Coordinator to join us on this journey.
The Role
The Administrative Coordinator will play a vital support role across multiple areas of the business, including sales, marketing, branding, financial management, recruitment, retreat operations, and executive support. As an early team member, you’ll help lay the foundation for smooth operations and contribute meaningfully to the growth and efficiency of the business.
Key ResponsibilitiesSales & Customer Support
- Respond to customer inquiries and manage bookings via email, website, or booking platforms.
- Maintain organized CRM records and track leads and customer interactions.
- Assist with coordinating sales campaigns and follow-ups.
Recruitment & Team Coordination
- Post job listings and help coordinate interviews and onboarding for freelancers or new hires.
- Manage contracts, NDAs, and other team documentation.
- Schedule team meetings and keep shared calendars up to date.
Marketing & Branding Support
- Help schedule and publish content on social media and email newsletters.
- Track content deadlines and coordinate with freelance creatives or contributors.
- Assist with marketing campaigns, launches, and data collection.
Finance & Administrative Management
- Track and manage invoices, receipts, and expenses.
- Help prepare basic financial reports and coordinate with our accountant.
- Manage vendor and supplier communications and documentation.
Retreat Planning & Operations
- Support the CEO with logistical planning and coordination for upcoming retreats (venue research, bookings, guest lists, schedules, etc.).
- Assist with participant communications and ensure smooth information flow before and after retreats.
- Prepare and organize materials and supplies for each event.
Executive Assistance
- Provide general support to the CEO with scheduling, email management, and task tracking.
- Help manage special projects, deadlines, and follow-ups.
Who You Are
- Highly organized, detail-oriented, and proactive.
- Comfortable working independently and juggling multiple responsibilities.
- A clear communicator with strong written and verbal skills.
- Tech-savvy with experience using tools like Google Workspace, Notion, Trello, Canva, or similar.
- Passionate about wellness, meaningful experiences, and supporting a mission-driven brand.
- Prior experience in administration, executive assistance, or operations is a strong plus.
