Office & Facilities Manager Job Vacancy in Johannesburg at GCI Wealth
We are looking for a proactive, highly organised and hands-on Office & Facilities Manager to oversee our office operations, facilities, corporate events and workplace services.
This is a diverse, multi-functional role that combines facilities management, financial and commercial administration, event coordination, employee onboarding and offboarding logistics, governance support and workplace operations.
The successful candidate will be responsible for ensuring that our offices operate efficiently, professionally and in line with business requirements, while building strong relationships with internal stakeholders, suppliers, landlords and service providers.
Key Responsibilities
Facilities & Office Management
- Oversee the day-to-day operational readiness, maintenance and upkeep of office facilities.
- Manage landlord, building management, contractors and service-provider relationships.
- Coordinate office infrastructure, access control, security, equipment, storage and workplace services.
- Maintain office standards, documentation, contracts and service-level requirements.
- Provide contingency support for reception, visitors, telephone and meeting-room requirements.
Finance & Commercial Administration
- Maintain oversight of office-related contracts, leases, recurring expenditure and renewal dates.
- Obtain and evaluate supplier quotations and verify invoices against approved agreements and services delivered.
- Coordinate procurement, invoice submissions and payment follow-ups with Finance.
- Assist with facilities budget tracking, expenditure reporting and financial administration.
Events & Corporate Functions
- Plan, coordinate and manage corporate events, meetings, workshops and company functions from concept to completion.
- Manage event budgets, venues, suppliers, catering, accommodation, travel, transport, AV and logistics.
- Coordinate internal stakeholders, event communications, branding and on-the-day operations.
- Manage post-event reconciliations, supplier invoices and lessons learned.
Employee Onboarding & Offboarding Coordination
- Coordinate cross-functional onboarding and offboarding workflows with HR, IT, Compliance, Training and business units.
- Manage checklists, timelines, equipment, access, workspace and logistical requirements.
- Track outstanding actions, resolve operational gaps and ensure timely process completion.
Governance & Company Secretarial Support
- Provide administrative and coordination support for corporate records, CIPC submissions and FICA-related documentation.
- Maintain statutory registers, governance records, deadlines and supporting documentation.
- Coordinate information and documentation with relevant stakeholders while maintaining strict confidentiality.
Workplace Operations, Health & Safety
- Coordinate office supplies, reception contingency, meeting-room readiness and shared workplace services.
- Support the implementation of occupational health and safety requirements, inspections, training and corrective actions.
- Maintain OHS records, emergency procedures and business-continuity documentation.
- Monitor service requests, identify operational risks and recommend continuous improvements.
Vendor & People Management
- Build and maintain effective relationships with suppliers, contractors, landlords and service providers.
- Monitor supplier performance, service delivery, contractual obligations and operational expenditure.
- Provide day-to-day supervision and coordination of the receptionist, cleaner and ad hoc contractual support staff.
Minimum Requirements
- Relevant qualification in Facilities Management, Business Administration, Operations Management, Office Management or a related field.
- Minimum of 5 years’ relevant experience in facilities, office or operations management, preferably in a corporate environment.
- Experience in supplier and contractor management, procurement, contract administration and budget coordination.
- Proven experience in corporate event planning and end-to-end event coordination.
- Exposure to occupational health and safety administration and workplace risk management.
- Strong administrative, organisational and project coordination skills.
- Experience coordinating cross-functional workflows, employee onboarding and offboarding will be advantageous.
- Exposure to company secretarial administration, CIPC submissions and FICA documentation will be an advantage.
- Previous experience supervising reception, cleaning or other support staff will be beneficial.
