We have an exciting opportunity for a proactive and highly organised Team Assistant to join our South Africa team. This role will provide exceptional administrative and operational support to a group of Directors, helping them manage priorities effectively and ensuring the smooth day-to-day running of business activities.
This is a fast-paced and varied position that requires initiative, flexibility, discretion and the ability to build strong working relationships. The successful candidate will be enthusiastic, eager to learn, and capable of managing multiple priorities while maintaining a high level of accuracy and professionalism.
Requirements
- Provide comprehensive diary management support to Directors, including arranging meetings, conference calls, meeting rooms and catering requirements.
- Prepare, format and maintain professional documents including letters, reports, meeting agendas, minutes and presentation materials, ensuring appropriate branding standards are applied.
- Coordinate travel and accommodation arrangements while maintaining a cost-conscious approach to bookings.
- Process expense claims accurately and ensure timely submission.
- Maintain and update Salesforce/CRM records to ensure information remains accurate and current.
- Support the planning and delivery of business development events, including guest list management, invitations, venue liaison and hospitality arrangements.
- Arrange seminars, training sessions and internal events as required.
- Manage incoming telephone calls professionally and direct enquiries appropriately.
- Support office operations and facilities-related activities, including reception cover, meeting room setup, stationery orders and catering requirements.
- Collaborate with colleagues across the Administration team to share workload, provide cover during absences and support wider business needs.
- Undertake additional ad hoc administrative tasks as required to support the business.
Education and experience:
- Previous experience in an administrative, team assistant, secretary or office support role is advantageous; however, candidates with strong organizational and communication skills will also be considered.
- Demonstrated ability to build effective working relationships and work collaboratively within a team environment.
- Strong sense of ownership with the ability to take initiative and follow tasks through to completion.
- Excellent organizational skills, attention to detail and ability to manage competing priorities effectively.
- Ability to identify, escalate and prioritize issues to ensure deadlines are met.
- Excellent written and verbal communication skills with the confidence to interact with both internal and external stakeholders.
- Strong time management skills and ability to work efficiently in a fast-paced environment.
- Proficiency in Microsoft Office applications including Outlook, Word, Excel and PowerPoint.
- Experience working with CRM systems, particularly Salesforce, would be advantageous.
- Native or fluent English is essential.
