We are a fast-growing retail and wholesale distribution business operating in a high-performance warehouse and operational environment. Our people are at the heart of what we do, and we are looking for a hands-on Personal Assistant to support the executive team.

Job Purpose

We are looking for a highly organised, professional and proactive Personal Assistant to provide comprehensive administrative and organisational support to the Head of Legal and Managing Director.

The successful candidate will be responsible for managing diaries, coordinating meetings and appointments, arranging travel, preparing documentation and ensuring that day-to-day requirements are managed efficiently. The role will also involve working closely with key internal and external stakeholders and assisting with various property management and business-related matters.

This is a varied and high-exposure role suited to someone who is confident, discreet, takes initiative and can manage multiple priorities in a fast-paced corporate environment.

Key Responsibilities:

  • Provide comprehensive administrative and personal support to the Head of Legal and Managing Director.
  • Manage diaries, meetings, appointments and travel arrangements.
  • Coordinate and liaise with key internal and external stakeholders, including senior management, business partners and service providers.
  • Prepare and manage correspondence, reports, presentations and other documentation.
  • Assist with property management matters, including liaising with tenants, contractors, agents and service providers.
  • Coordinate meetings, events, business trips and other logistical requirements.
  • Manage confidential information and maintain accurate records and filing systems.
  • Follow up on outstanding matters, deadlines and action items to ensure completion.
  • Assist with various business projects and ad hoc requirements as needed.

Requirements:

  • Degree, diploma or relevant tertiary qualification.
  • Minimum 2 years’ experience in a Personal Assistant or similar role supporting senior management/executives in a corporate environment.
  • Previous experience managing executive diaries, meetings and travel arrangements.
  • Strong computer literacy, including Microsoft Office.
  • Excellent written and verbal communication skills.
  • Experience dealing with senior stakeholders and external service providers.
  • Property administration or property management experience will be advantageous.
