Big Eazy’s Custom Bikes is a fast-paced custom motorcycle workshop specialising in builds, repairs, and unique client projects. We are growing rapidly and require a highly capable Operations Administrator to take full control of the company’s administrative systems and processes.

About the Role

This is NOT a basic admin position.

You will be responsible for managing and organising all administrative, client, and operational processes within the business. You will work directly with the director, mechanics, clients, suppliers, accountants, and attorneys.

This role requires someone who can bring structure, control, and accountability into a busy workshop environment.

Key Responsibilities

  • Full management of job cards, client files, and documentation
  • Creating and managing quotes, invoices, and payment tracking
  • Managing client communication and updates throughout projects
  • Coordinating between workshop staff and clients
  • Sourcing parts, requesting supplier quotes, and tracking orders
  • Maintaining accurate filing systems (digital and physical)
  • Ensuring compliance (FICA, POPIA, client documentation)
  • Assisting with company financial admin (expenses, invoices, Sage support)
  • Drafting contracts, agreements, and notices
  • Supporting HR admin (attendance, onboarding, basic disciplinary processes)
  • Assisting the director with operational organisation and follow-ups

Minimum Requirements (Non-Negotiable)

  • Proven experience in the automotive industry (dealership, workshop, or similar)
  • Experience with quoting, invoicing, and client file management
  • Strong understanding of automotive admin processes
  • Ability to work in a fast-paced, high-pressure environment
  • Strong organisational and multitasking skills
  • Confident communicator (clients, suppliers, and internal team)
  • High attention to detail and accountability

Advantageous

  • Experience with Sage, Seriti, or similar systems
  • Exposure to F&I or dealership compliance processes
  • Motorcycle industry experience
