Role Description

  • We are seeking a Virtual Care Concierge Coordinator to support a U.S.-based behavioral health organization. This is a non-clinical, administrative role that plays a critical part in the patient experience through scheduling, communication, and accurate system management.
  • You’ll work closely with internal teams and providers in a fully remote, async-first environment, where clear documentation, proactive communication, and ownership are essential.
  • This role is ideal for someone with early experience in healthcare administration who is detail-oriented, reliable, and comfortable working independently in a fast-paced, mission-driven setting.

Responsibilities:

  • Schedule, confirm, and manage patient appointments.
  • Respond to patient inquiries via email and live calls.
  • Maintain accurate and up-to-date records within the Electronic Health Record (EHR) system.
  • Support intake, rescheduling, and administrative follow-ups as needed.
  • Ensure all communications and documentation comply with HIPAA and healthcare privacy standards
  • Maintain organized internal documentation and notes
  • Assist with internal reporting and data tracking to support operational visibility.
  • Collect and verify necessary information (e.g., insurance, pre-visit assessments) ahead of upcoming appointments

Qualifications:

  • 1–2 years of experience in a healthcare administrative or patient services
  • Strong written and verbal English communication skills
  • Solid understanding of HIPAA compliance and patient confidentiality
  • Comfortable working with Microsoft Office
  • Ability to work independently in a remote, async-first environment
  • Exposure to behavioral health or mental health settings strongly preferred

Hands-on experience with:

  • Appointment scheduling
  • Patient communication (email and phone)
  • Electronic Health Record (EHR) systems
  • US Insurances

💲 Compensation: $600-800 USD/month, depending on experience
