People & Office Coordinator Job Vacancy in Cape Town at NMI | R25 000 p/m

Manage front-desk and office operations for the Cape Town office, including reception, visitors, suppliers, maintenance, supplies, couriers, meals, events, transportation, health and safety, and onboarding support. The role also assists the People Team and leadership with administrative projects while maintaining a welcoming, organized, and well-presented workplace.

We’re looking for a People & Office Coordinator to be the friendly face and organizational heartbeat of our Cape Town office. Reporting to the Manager, People Operations, you’ll own the front-of-house, office management and administrative functions that keep our workplace running smoothly, and you’ll play a key role in shaping a great experience for every employee and visitor who walks through our doors.

From welcoming guests and managing suppliers to organizing social events and supporting new joiners, this is a varied, hands-on role for someone who loves bringing people together and takes pride in a well-run, welcoming office.

This is an in-office position based in our Cape Town office, working Monday to Friday, 12pm to 9pm.

What will I be doing?

  • Serve as the point person for all employee and visitor experience matters in the Cape Town office.
  • Fulfil the duties of Receptionist for the Cape Town office, including greeting and signing in visitors, giving office tours and arranging parking.
  • Maintain office function and aesthetics, coordinating maintenance and repairs as needed.
  • Purchase and manage the inventory of office supplies and equipment.
  • Handle incoming and outgoing post, arrange courier collections and deliveries, and liaise with suppliers on orders and day-to-day office needs.
  • Coordinate taxi transfers, including airport pickups and journeys around the city, make restaurant reservations, and secure suitable meeting spaces.
  • Manage the Health & Safety requirements of the office, acting as Health & Safety Officer, Fire Marshal and First Aider (training will be provided).
  • Arrange our regular office meals and ensure the office is well stocked with snacks and drinks.
  • Act as an ambassador for NMI’s culture by arranging regular social events for the Cape Town team, such as seasonal parties, office celebrations and activities (Halloween, Valentine’s Day), volunteering initiatives during NMI Cares month, and well-being initiatives.
  • Support the onboarding of new joiners, including their office induction, ID verification, IT set up and provision of SWAG.
  • Assist the People Team and onsite leadership with administrative tasks, projects and initiatives as requested.

Essential Skills and Experience:

  • Proven front-desk, customer-facing administration or receptionist experience.
  • Strong office management experience, including overseeing daily office operations, managing supplier relationships, and coordinating courier services and office maintenance to ensure an efficient, well-organised workplace.
  • Excellent written and verbal communication skills, with the confidence to communicate effectively with individuals at all levels.
  • Highly computer literate and proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive), with the ability to quickly pick up new, bespoke systems.
  • Confident using AI tools to support research and routine tasks, with sound judgement about accuracy and confidentiality.
  • Strong time-management, organization and problem-solving skills.
  • Professional, driven and proactive, with a friendly, positive, ‘can-do’ attitude.
  • Ability to calmly juggle multiple tasks and handle occasional high-pressure situations.
  • A good eye for detail and high standards for workplace presentation and cleanliness.
  • Ability to handle confidential information sensitively and exercise sound judgement.

Preferred Skills & Experience:

  • Experience working with international teams across varied time zones.
  • Experience in workplace Health & Safety.
