As an OEM, we design, manufacture, install, and maintain water treatment systems for a variety of commercial and industrial settings. We are a young and energetic company looking for an office administrator to join the team.

Location: Somerset West

Salary Range: R12 000 – R17 000 per month

Key responsibilities of an office administrator:

  • Communication management: Answering phone calls, managing email correspondence, interacting with clients and internal staff, and providing information as needed.
  • Calendar management: Scheduling meetings, appointments, and travel arrangements for staff members.
  • Supplies management: Ordering and receiving office, kitchen and workshop supplies, tracking inventory, and ensuring adequate stock levels.
  • File management: Maintaining accurate and organized filing systems, both physical and digital.
  • Meeting coordination: Setting up meeting rooms, preparing agendas, taking minutes, and following up on action items.
  • Administrative support: Preparing documents, invoices, purchase orders, and correspondence as needed.
  • Office maintenance: Coordinating office space planning, maintenance, and renovations.
  • Front of house: Receive suppliers and clients when they arrive at the offices in a friendly and professional manner.
  • Company Culture: planning office social events, birthdays and general morale.

Required skills for an office administrator:

  • Excellent communication skills (verbal and written): Ability to clearly communicate with colleagues, clients, and suppliers.
  • Strong organizational skills: Ability to prioritize tasks, manage multiple queries, and meet deadlines.
  • Attention to detail: Ensuring accuracy in all administrative tasks.
  • Time management skills: Effectively managing workload and allocating time to different responsibilities.
  • Proficiency in office software: Microsoft Office Suite (Word, Excel, PowerPoint), email systems (gmail), and other web-based applications.
  • Customer service skills: Providing professional and courteous service to clients and visitors.
  • Drivers license: There will be a requirement to collect and deliver a variety of items.
  • Entry level accounting: Basic bookkeeping knowledge, and ability to reconcile statements and accounts (would be beneficial).
