Job Description
- To ensure efficient and professional management of the reception area.
- Answering & re-routing of telephone calls.
Differentiators for this specific role
Visitors
- Receive visitors in a professional, warm and welcoming manner.
- Assist Visitors to sign in on the Kenai Visitor log in system and advise on emergency procedures and exits.
- Assist clients and staff with building information.
- Accompanying clients to their relevant meeting areas.
- Screen and ensure visitors are collected from reception
Housekeeping
- Ensure that all work and storage areas are tidy and organised at all times
- Ensure stationery is fully stocked at all times
- Report any broken equipment in Reception to maintenance via email
Switchboard:
- Manage switchboard and ensure all calls are professionally answered, and connected to the relevant individual.
Deliveries:
- Accept all deliveries, notarise, sign upon collection and notify recipients to collect
Meeting rooms:
- Coordinate bookings of client facing venues
- Approve or reject venue bookings based on pre-defined criteria
- Guide staff on venue bookings
- Coordinate refreshment requirements with beverage assistant on duty
- Supervise room set up
- Daily room and equipment checks
Appearance & professional conduct
- Align with dress code policy, name badge and uniform
- Well groomed & professional at all times
- Clear verbal communication
- Punctuality
- Required to stand up when greeting and assisting all visitors, clients as well as internal staff
Supporting Beverage Assistants
- Ensure professional conduct at all times
- Support with monthly stock take
- Assist with room set up prior to meetings and reset post meetings
Qualifications
- Grade 12 (matric)
- Receptionist qualification is advantageous
Experience
- Minimum 2 years experience in a receptionist position within a corporate organisation
- Customer service experience is advantageous
Technical Competencies:
- Basic knowledge of the standardised routines of the role
- Basic knowledge of Outlook and MS office and programs relevant to the role
- Ability to work well in a Team
