Team Assistant for NinetyOne | Onsite CT
About the team:
Join the SA Funds retail team with the aim of helping advisors and end clients achieve better financial outcomes. Internally, we strive to build meaningful relationships with existing and new clients, and grow our AUM, by promoting the firm’s retail funds to South African clients, including 3rd party distributors and through our own distribution channel (IP).
In this role you will:
Team Assistant
- Be responsible for extensive diary management (especially management of people and time)
- Plan and coordinate travel arrangements including flights, car hire and accommodation
- Manage and reconcile all expenses on the expense system (Oracle)
- Ensure that compliance approval is received in accordance with the FAIS regulations
- Meeting arrangements (internal and external)
- Deal with client and staff queries in a professional manner
- Typing and formatting of documents and management of folders
- Taking actions at internal meetings and distributing to the team
- Coordinate due diligences, client meetings
- Organise and book meeting rooms / venues
- Compile meeting packs – printing and binding
- Arrange catering and refreshments for meetings
- Arrange client gifts as and when necessary
- Ensure the office is tidy and log any issues with facilities accordingly
- Miscellaneous errands as and when requested
Events
- Arrange smaller ad hoc events (maximum 50 people)
- Coordinate external client events which includes but not limited to road shows, workshops, client conferences, golf days, breakfasts, lunches etc.
- Assist in the coordination of internal staff team buildings / offsites
- Brief and objective discussions with Sales Manager and budget management
- Source venues for events, dinners, workshops etc
- Distribute invitations and follow-up with clients via Salesforce and Eventogy
- Conduct electronic RSVPs and capturing all information correctly for all events
- Assist with the online registration of guests at events as well as helping with set-up of the event, attending and helping with smooth running of event on the day
- Be responsible for printing & collation of conference / roadshow / workshop/ information packs
- Provide final reporting post an event for event follow-ups, including CPD certificates
- Ability to travel
You should consider applying if you have:
- Degree educated
- 3-5 years’ experience as a team assistant within the financial services industry.
- Work experience as an executive assistant to a client service team or senior management is essential
- Excellent written and verbal communication skills
- Extensive Outlook experience
- Advanced Microsoft Word, Excel and Powerpoint
