The Executive Assistant will provide high-level administrative support to an executive or a team of executives. The role requires exceptional organizational skills, discretion, and the ability to handle confidential information. The ideal candidate should be a proactive problem-solver with excellent communication skills and the ability to manage multiple tasks efficiently.
Responsibilities & Requirements
Key Responsibilities
- Provide comprehensive administrative support to the executive, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Handle incoming and outgoing communications on behalf of the executive. This includes emails, phone calls, and postal correspondence.
- Prepare and edit correspondence, reports, presentations, and other documents as required.
- Arrange and coordinate meetings and events, ensuring all necessary arrangements are made.
- Organize and maintain electronic and paper files to ensure efficient retrieval of information.
- Handle expense reports and budgeting for the executive’s office.
- Act as a point of contact between the executive and other staff members, clients, and external partners.
- Assist with or lead projects as assigned, ensuring timely completion and follow-up.
- Maintain the confidentiality of all sensitive and proprietary information.
Qualifications
- Preferred Bachelor’s degree in Business Administration, Management, or related field (not required).
- 4+ years of experience as an Executive Assistant or similar administrative role.
- Excellent organizational and time-management skills.
- Proficiency in MS Office, with expertise in Word, Excel, and PowerPoint.
- Strong written and verbal communication skills.
- High degree of professionalism and ability to work with confidential information.
- Exceptional attention to detail.
- Ability to multitask and prioritize work effectively.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
