Office Administrator Job Opportunity for Assa Abloy in Johannesburg
Purpose of the Role:
Purpose of this role is to support the service towards customers, the sales representatives and managers of ASSA ABLOY. To also apply correct procedures to the role of order capturing, to the point of order release to the courier company. To offer the upmost professionalism in all aspects of this role.
Responsibilities / Accountatbilities:
ORDER PROCESSING
- Load orders – creating sales orders
- Issue pick slips and order instruction to production & stores
- Invoicing out completed orders
- Shipping out completed orders
- Creating credit notes
- SGS inspection on required orders
STOCK
- Ordering stock for new orders
- Capturing / creating purchase orders to suppliers
- Shipping and deliveries of stock – liaise with DHL and other freight companies
SUPPORT STORES & PRODUCTION
- Liaising with stores and production on daily orders/arriving stock
- Planning on work around big orders or project orders
- Weekly counts on stock levels
- Updating/creating new stock item numbers /bin numbers (*ME stock items contact SAP product manger)
ADMIN
- Assisting sales team with sales quotations
- Assisting sales team with freight costs
- Assisting with vendor/customer onboarding
- Assisting customer with inquiries & queries
- Software-capturing factory invoices on teams sheet
- Capturing SO on Nav once sales team issues PO,
- Updating invoiced software
- Sending out monthly statements to customers
- Following up on overdues with customers then sales team
- Sending out reminder statements/invoices
- Order book -updated monthly then weekly with new orders that come in,
- Removing sales orders that have been invoiced
- Handling RMAs – recieving, accessing and replacing rejected goods.
REPORTING
- Sales report
- Customer item sales
- Finished goods report
Professional Qualifications / Experience
Tertiary qualification
- Matric
- Must be computer literate
- Customer service skills
Experience
- At least two years related experience
- Internal sales background is an added advantage.
