Office Administrator for Factory 209 | Onsite CT (R12000 p/m)
Job Title: Office administrator
We are seeking a detail-oriented and proactive Office Assistant to ensure the efficient and effective operation of our office environment. This role involves coordinating administrative activities, managing resources, and fostering a positive office culture. The successful candidate will serve as a key liaison between our two locations and will work closely with the General Manager to support internal and external operations.
Key Responsibilities:
1. Inventory Management:
- Maintain inventory records for office supplies (consumables and non-consumables).
- Monitor and order stationery, furniture, appliances, and electronics as needed.
- Ensure office equipment is in proper operating condition.
2. Scheduling and Coordination:
- Answer and direct phone calls.
- Coordinate appointments, meetings, and travel arrangements for staff.
- Manage internal and external communications and documentation.
- Act as the liaison between two office locations to streamline operations.
3. Record Keeping:
- Maintain records, filing systems, and databases.
- Handle incoming and outgoing mail and correspondence.
- Prepare meeting agendas, record minutes, and transcribe information when required.
4. Managing Administrative Staff and Facilities:
- Supervise cleaning staff and ensure facilities are well-maintained.
- Coordinate with maintenance providers (electricians, plumbers, internet providers) to ensure office safety and functionality.
5. Health and Safety:
- Ensure compliance with health and safety regulations across all locations.
- Organize training for staff and managers as needed.
- Oversee building maintenance to ensure optimal working conditions.
6. Onboarding and Finance Support:
- Manage the asset register and assist with onboarding new employees.
- Facilitate equipment procurement, printer setup, access control, and parking arrangements.
- Load payments and manage proof of payments and filing.
Requirements:
- Grade 12 Senior Certificate.
- Essential: 2 – 3 years experience as an admin officer
- Variety of administrative tasks, to support smooth operations of the office and e-commerce platform.
