Primary Purpose of the Job

To provide effective and efficient minute-taking support to clients, including the attendance of meetings, recording, and transcribing the minutes and action lists to enable Statucor to achieve its strategic and compliance objectives.

Main Duties and Responsibilities

• Review client company relevant agendas and coordinate meetings with clients, consultants, and colleagues and attend meetings where required
• Compile client Board packs and agendas for meetings
• Consult with clients and prepare clients for upcoming meetings
• Ensure and enforce accurate minute-taking procedures and protocols for clients
• Accurately record and transcribe minutes and action lists based on meeting outcomes for various clients and ensure completion as per deadlines
• Review minutes on behalf of consultants and other minute takers to ensure quality
• Prepare client’s minutes and matters arising schedule templates on server
• Distribute minutes to clients as required
• Review systems for minute recording and transcribing and propose new methods when required 
• Ensure all minute are completed on deadline date
• Prepare Billing Sheet Schedule, invoices and expense claims as required 
• Assist in the preparation of proposals to new prospective clients 
• Assist in the preparation and follow up on engagement letters
• Analyse and respond timeously to emails from clients and relevant stakeholders
• Assist in identifying and adhering to fraud controls, risk prevention principles, sound governance and compliance processes, and tools to identify and manage risks
• Support and provide evidence to all internal and external audit requirements
• Assist in maintaining all related Service Level Agreements to minimise business risk and ensure business continuity
• Adhere to all relevant laws, policies and Standard Operating Procedures throughout the organisation
• Identify and mitigate internal systems and procedural barriers to enhance excellent customer service
• Build and maintain effective internal and external stakeholder relationships for the purpose of expectations management, knowledge sharing and integration, and to manage Statucor’s reputation
• Provide timeous communication on progress and challenges in achieving the work plans to impacted stakeholders
• Manage the stakeholder communications with relevant stakeholders 

Requirements

  • Certificate in Minute Taking  – NQF LEVEL 5

Experience

  • 1-2 Years Minute Taking

Knowledge 

  • Minute Taking protocols – Advanced
  • Relevant legislation and regulatory frameworks – Intermediate
  • Board Governance and Compliance Knowledge – Intermediate
  • Company Secretarial protocols – Intermediate
  • Business Acumen – Intermediate
