- Typing of general correspondence and specifications
- Answering telephone, taking messages and screening of calls
- General administrative duties e.g. faxing, photocopying, answering switchboard
- Typing/ editing of documents, faxes and letters for partners/ associates
- Sending and receiving of faxes and email
- Receiving, interpreting and carrying out client’s instructions
- Liaising with clients, telephonically and personally
- Preparing and filing of South African, African and International patent and design applications
- Late filing of outstanding documents for South African, African and International patent applications and reporting to client
- Invoicing clients
- Preparing of formal requests to amend and/or correct clerical errors in patent and design applications
- Obtaining extension of time for acceptance, registration and filing of outstanding documents for local patent and design applications
- Preparing relevant documents for signature by applicant and/or inventors
- Opening of files on patent registry
- Requesting new account numbers from CMS
- Drawing files
- Amending records and files when necessary
- Responding to Agent’s invoices
- Carry out ad hoc duties that commensurate with the job level
Requirements
Skills and knowledge
- High level of initiative and being pro-active in the practice
- Ability to prioritize and deal with urgent matters promptly and efficiently
- Solid understanding of relevant legislation
- Ability to work independently, to work under pressure, to use initiative and meet deadlines
- Good administrative skills
- Must be flexible regarding time
- Excellent communication skills
- Computer literate in MS Office Suite
Qualification/s
- Matric/ National Diploma or equivalent qualification
- Secretarial Diploma or equivalent experience
- Excellent Typing Skills
- At least 2-3 years’ experience in patent prosecution or High court litigation
