DHL Global Forwarding has an opening for Executive Personal Assistant in South Africa. In this specific position you will be responsible for providing high-level administrative management support to Country Manager by performing clerical functions such as managing calendars, making travel arrangements, preparing correspondence, arranging conference calls, and scheduling meetings for CM. Preparation of presentation material and provide strong follow-up on main topics with other colleagues. In addition, assist with Marketing and Branding campaigns in line with country requirements.

In this Executive Personal Assistant position
- You will efficiently manage and organize the Country Manager’s calendars, scheduling appointments, meetings, and conferences while optimizing their time and prioritizing time effectively.
- You will coordinate schedules among the Executive and Senior Management team.
- You will arrange and facilitate meetings, ensuring all parties can attend.
- You will support SMT in planning and coordinating special projects and events.
- You will represent the Country Manager in various internal and external engagements, exercising sound judgment and decision-making abilities.
- You will prepare and review documents, presentations, board packs, and reports with keen attention to detail and accuracy.
- You will handle travel arrangements, accommodation bookings, and itinerary planning for business trips and events.
- You will rearrange schedules to accommodate last-minute changes and emergency cancellations.
- You will maintain confidentiality and handle sensitive information with the utmost discretion.
- You will act as a reliable point of contact for the Country Manager, demonstrating professionalism and excellent communication skills in all interactions.
- You will serve as a liaison between the Country Manager and staff, including receiving and screening the CM’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
- You will keep the CM advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- You will propose marketing/branding for ZA.
- You will assist with research and writing reports, or independently write reports on behalf of upper-level management.
- You will analyze data and create reports to deliver to management.
- You will prepare documents for external or internal communications.
- You will attend meetings as directed by Executives and take minutes of the meetings as required.
Now, here’s what we need from you.
- At least a Bachelor’s degree in Marketing, Communication, Business Management, or a relevant field
- Prior exposure in a Communications, Marketing, Business Administration, Project Management role, or a similar role
- Experience working with MS Office and design tools (e.g. Illustrator, Photoshop, Canva etc.)
- Experience with a content management system (e.g. WordPress)
- Sound knowledge of digital media strategies and media relations
- Proficiency in English along with excellent writing and editing skills.
- Exceptional researching skills
- Exceptional time-management and organizational skills
- Good business acumen
- An analytical mind with a problem-solving attitude
- Strong ability to execute work in a diverse environment.
- Knowledge of supervisory practices, management practices, financial record keeping methods and personnel administration.
- Experience in using computer applications, planning and scheduling techniques for the executives.
- Planning, organizing, implementing, and evaluating special projects.
- Independently researching, compiling, developing and summarizing material for reports on a frequent or recurring basis.
- Analyzing information, identifying problems, defining alternatives and developing recommendations management
- Experience coordinating events.
- 5 – 8 years’ experience in business and or office management and support
- 5 -8 years’ experience with financial and customer service principles
- Proven track record of Stakeholder Management and project co-ordination at Executive level
- At least a bachelor’s degree in marketing, Communication, Business Management, or a relevant field
