  • A relevant tertiary qualification (NQF Level 4) in administration, business management, or a related field will be an advantage
  • Minimum of 4 years of administrative and/or secretarial experience, preferably consulting sector

Job Description

  • Provide comprehensive office, secretarial, and project administrative support, including but not limited to:
  • Managing project documentation and filing systems
  • Capturing and maintaining project Quality Management System (QMS) records
  • Processing and verifying contractor payment certificates from the QMS database for approval by the Project Manager and/or Resident Engineer
  • Coordinating communication between site office staff, contractors, and professional service providers
  • Preparing and formatting reports, minutes, and other project documentation
  • Capturing timesheets and out-of-pocket expense (OOPE) claims in the system
  • Assisting with general office duties, including reception support and handling inbound/outbound calls professionally
  • Managing project-related correspondence, contractor certificates, and ensuring efficient document flow
  • Organizing and maintaining administrative records, reports, and filing systems
  • Assisting with the preparation and compilation of tender documents
  • Strong organizational skills with attention to detail
  • Friendly, professional, and efficient with excellent interpersonal skills
  • Self-motivated, proactive, and able to work effectively within a team
  • Strong written and verbal communication skills
