Mission:

The purpose of the Stores Clerk is to support the effective functioning of the organization by managing inventory, fulfilling orders, coordinating with suppliers, maintaining documentation, promoting compliance and safety, and collaborating with internal teams.

Main duties and responsibilities:

Receiving, Inspection, and Purchase Order Processing:

  • Receive incoming shipments of goods, materials, and supplies.
  • Inspect deliveries for accuracy, quantity, and quality.
  • Verify packing slips or purchase orders against incoming shipments.
  • Receive, bin, package, and dispatch sales orders accurately and in a timely manner.
  • Verify part numbers and quantities against delivery notes and related documents.

Inventory Management:

  • Maintain accurate records of inventory levels using inventory management software or manual tracking systems.
  • Organize and store items in designated locations within the storeroom.
  • Conduct regular inventory counts and reconcile discrepancies.
  • Handle storeroom supplies in an organized and scheduled manner.
  • Conduct timely unloading and movement of materials within the storeroom.

Order Fulfilment:

  • Process requests for materials, supplies, or products from various departments.
  • Prepare orders for shipment or delivery in a timely manner
  • Ensure that items are properly packaged and labelled for shipment.
  • Monitor inventory levels and reorder stock as needed to prevent shortages.

Supplier Coordination and Material Handling:

  • Follow up with suppliers regarding stock counts and resolve any discrepancies.
  • Monitor delivery dates and track extensive lead times.
  • Physically check storeroom materials for breakages or damages.
  • Maintain inventory control and record movements of incoming and outgoing materials.
  • Kit stock to fill orders from authorized requisitions.

Documentation, Reporting, and Data Entry:

  • Maintain accurate records of all transactions, including receipts, withdrawals, and returns.
  • Generate reports on inventory levels, stock movement, and supply shortages.
  • Enter purchase order receipts (GRN) into the accounting system (e.g., PASTEL).
  • Update and maintain multi-level job printing and Work In Progress control (WIP).
  • Attend to all inventory queries and ensure accuracy of reports.

Clerical and Administrative Duties, Maintenance, and Organization:

  • Handle clerical and administrative tasks within the storeroom environment.
  • Maintain records, reports, and systems related to inventory management.
  • Ensure adherence to correct stock stacking procedures.
  • Maintain the neatness and orderly fashion of the storeroom premises.

Logistics:

  • Coordinate with danger packers and arrange shipment packaging.
  • Ensure accuracy of all necessary shipment documentation.
  • Schedule collection date and ensure timely pickup of shipments.

Learning and Growth:

  • Participate in activities as described in Personal Development Plan, as agreed with the Procurement and stores manager.
  • Facilitate knowledge sharing and skills development processes (best practice, lessons learnt, etc.).

Health, Safety & Environment:

  • Take responsibility for your own safety in the workplace.
  • Ensure that your immediate work area is safe and that you report all incidents and near misses.
  • Comply to all health, safety and environmental rules and requirements as set by the Company.

Sustainability Goals:

  • Acquaint yourself with the sustainability targets and goals as set by the Company from time to time.
  • Support the Company in achieving the targets and goals.

Education and Experience:

  • Beginner experience required in organizational and time management skills to oversee inventory control processes, prioritize strategic initiatives, and implement improvements in storeroom operations.
  • Intermediate experience required in inventory management, order fulfilment, and clerical duties within a similar role, including familiarity with inventory management software and accounting systems (e.g., PASTEL), and strong attention to detail and accuracy in record-keeping.
  • Specialist experience required in data entry, meticulous record-keeping, and generating comprehensive reports related to inventory control, as well as resolving issues, coordinating deliveries, and providing exceptional customer service.
  • High school diploma or equivalent; additional education or training in inventory management or administration is advantageous.
  • Proven experience in a similar role, preferably in a storeroom or warehouse environment.
