Project Coordinator for Peace Parks | Remote SA

BACKGROUND

Peace Parks is a non-profit conservation organisation that specialises in Conservation at Scale through the development of Transfrontier Conservation Areas (TFCAs) and the long-term management of key Protected Areas in partnership with government, conservation agencies and communities within these landscapes. We currently focus on the development of five priority Transfrontier Conservation Areas measuring over 65 million hectares throughout southern Africa and the co-management of ten National Parks and Protected Areas covering over 5.2 million hectares.

1. PURPOSE OF THE JOB

To provide support to the Sub-Programme lead in the Combatting Wildlife Crime (CWC) Programme, with the development, planning, management, monitoring and evaluation of projects. The use of best practice project management tools and solutions are to be used, to ensure projects achieve planned objectives, in the allocated time and budget, risks are mitigated, and projects are closed out and transitioned to the designated beneficiaries.

2. KEY PERFORMANCE AREAS

2.1 Project development and planning

  • 2.1.1 Support the development of project concepts, funding applications and feasibility assessments.
  • 2.1.2 Support the development of project plans (observing time, scope, quality, cost, and risk considerations).
  • 2.1.3 Support the development and review of project agreements (donor, supplier, consultants, etc.)
  • 2.1.4 Support project plans and budgets modifications.
  • 2.1.5 Support development, maintenance, enhancement as well as utilisation of the Project Workbook Tool for the management and monitoring of each project.
  • 2.2 Project implementation and administration
  • 2.2.1 Support the implementation of key priority projects as delegated by the sub-programme lead.
  • 2.2.2 Support the establishment and maintenance of the correct governance structures to keep projects on track.
  • 2.2.3 Manage project budgets against forecast costs, ensure that exceptions beyond tolerance are escalated and approved.
  • 2.2.4 Guidance and liaison with field project teams, in the efficient and effective execution of project activities, ensuring compliance with contractual obligations.
  • 2.2.5 Coordinate and assist with project procurement and delivery of items to project sites, with internal and external stakeholders, while observing both Peace Parks and donor procurement policies.
  • 2.2.6 Monitor the project’s assets, and other administrative requirements including conducting project close-outs and transition management.
  • 2.2.7 Manage the transfer of project deliverables, equipment, and project assets, as per agreed standard procedures.

2.3 Project monitoring and reporting

  • 2.3.1 Support the monitoring of field project activities to achieve project targets, defined in the monitoring and evaluation plan as required.
  • 2.3.2 Create and maintain project documentation – Budget monitoring, Project Action, Decision, Risk and Change Logs – and provide weekly status updates to relevant project role players.
  • 2.3.3 Make available real-time, on-demand, reports that provide progress and insights for time, quality, cost, and risk for each project.
  • 2.3.4 Support the preparation of monthly and quarterly internal and donor reports for each project.
  • 2.3.5 Support the delivery of project close out reports.
  • 2.4 Technical input and general project support
  • 2.4.1 Support the capacitation of field and the central project team in the use of the Project Workbook, other Tools, and associated processes. Share lessons learnt internally.

3. QUALIFICATIONS, EXPERIENCE, COMPETENCIES, & SKILLS REQUIRED

  • 3.1 Minimum graduate qualification required, preferably in Conservation or Project Management field and at least five years’ experience as a manager in a similar role in a development non-governmental organization.
  • 3.2 Proven track record delivering complex projects, funded by institutional donors, monitoring and evaluation techniques, and logical frameworks.
  • 3.3 Experience working in environmental crime in southern Africa is an advantage.
  • 3.4 Robust understanding of project management methods and best practice.
  • 3.5 Excellent abilities with Microsoft 365 products. Competency with PowerBi is an advantage.
  • 3.6 Excellent written and verbal communication skills. Fluency in English is required.
  • 3.7 Comfortable working in a fast-paced environment with changing priorities and under minimal supervision. Team player and able to work effectively with diverse works groups in a multicultural environment.
  • 3.8 Ability to work well under pressure, multitask, set priorities, and deliver quality results.
