Deimos is seeking to fill a full-time, People Support Administrator position. They will undertake administrative tasks, ensuring the rest of our staff has adequate support to work efficiently. They will also be responsible for the general operation of our head office based in Cape Town CBD to ensure that the office operates smoothly and efficiently.

We’re looking for a People Support Administrator who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines, as well as surprises in a remote working, as well as in person, environment.

What you’ll be doing in the role:

  • Overseeing general office operations. Ensure peak operations for the organization and implement preventive measures for potential issues.
  • Management of the head office- office cleaner, maintenance and repairs.
  • Coordinate office activities and operations to secure efficiency and compliance to company policies. This will apply for employees, clients and office functions.
  • Oversee visitors to the office and ensure a friendly, personal and professional experience.
  • Purchasing office supplies and equipment, and managing stock levels thereof.
  • Collecting and receiving parcels, where necessary.
  • Assisting with coordinating domestic and international travel, including flight, hotel, and car rental reservations, as well as visa logistics.
  • Asset management for the company, together with your department head.
  • Assist with company equipment and merchandise distribution and procurement.
  • Implement policies and procedures, measure outcomes against standards, and improve operational flow.
  • Coordinate internal and external resources, and cultivate relationships with vendors.
  • Support budgeting and bookkeeping procedures.
  • Assist with recruitment (interview scheduling, candidate communication).
  • Assist with onboarding and offboarding administration.
  • Relay staff communication on public channels (anniversaries, birthdays, policy updates etc.)
  • Respond promptly to team or vendor requests.

We are looking for someone with

  • Three or more years of experience as an Administrative support/ People Operations coordinator or similar  
  • Strong time-management and people skills. 
  • High degree of flexibility, and excellent multitasking ability.
  • Familiarity with working in a remote environment.
  • Ability to maintain confidentiality of company information.
  • Excellent communication and writing skills.
  • Proficiency with office applications, and aptitude for learning new software and systems.
  • Proven ability to work under pressure.
  • Good business sense and able to pick up concepts quickly.
  • Strong sense of discretion.
  • HR qualification advantageous
