Job Purpose

  • Uphold and oversee the office clerical duties that they are performed orderly to support the running of the office. 
  • Administer the reception area as well as any coordination required.
  • Responsible for maintaining all relevant records.
  • Organize and scheduling of meeting/events etc.

Overall coordination and clerical responsibilities in support to the business.

Job Dimensions

  • Performing and overseeing clerical duties.
  • Ensuring the smooth running of the front office.
  • Maintaining relevant records.

Key Accountabilities

These will include:

  • • Full control of the front office/desk.
  • • Answering and operating reception, call system.
  • • Keep a safe and clean reception area by complying with procedures, rules and regulation as may be required.
  • • Receiving and welcoming of visitors.
  • • Receive visitors with a warm welcome and directing them appropriately.
  • • Coordinate department/s directories as may be requested.
  • • Organise and schedule meetings and events.
  • • Ensuring that the boardroom is always well kept.
  • • Arranging flights, accommodation, car hire and travelling documents for LESA employees with relevant travel agencies.
  • • Arrangement and preparation of refreshments, not limited to visitors, training, departmental meetings.
  • • Assist with relevant induction.
  • • Assist with filing.
  • • Facilitate the maintenance of the Office Premises for LESA.
  • • Coordinate and reporting of any damages, defects and disturbances/abnormalities within the building.
  • • Any other administrative duties as may be directed.

Qualifications, Experience & Skills

  • • Administrative background
  • • Relevant Certificate and or similar
  • • Matric / Grade 12
  • • Computer literacy in Ms Office, Excel Spreadsheet
  • • Telephone etiquette
  • • Professional pose 
  • Job Specific Skill
  • • Good knowledge of administration
  • • Good Organisational skill
  • • Ability to work proactively and maintain relationships
  • • Able to manage time effectively.
