Executive Support Officer / Administrator for DataDrive2030 | onsite CT (paying R25 000 P/M)

For most poor children in South Africa, the experiences that they currently have in their earliest years present significant barriers to their success in school and to their long-term economic inclusion, reinforcing intergenerational cycles of poverty and injustice.

About the role

We are seeking an organised and detail-oriented executive support officer to support the ED and CFO. The ideal candidate should have strong communication and interpersonal skills, be able to prioritise tasks and understand office management well. They should be proactive, adaptable, and able to work independently and as part of a team. The role will involve providing administrative, financial, and operational support, and problem-solving abilities will be important.

This is a full-time position based in our office in Westlake, Cape Town.

The starting date is flexible, but we’d love to get you on board as soon as possible.

Candidate requirements

  • Diverse experience in administration/finance/operations
  • A flare for troubleshooting and creative problem-solving
  • Able to adapt to changing parameters
  • Someone curious about and comfortable with technology
  • Excellent attention to detail and ability to multitask
  • Experience with spreadsheets and quantitative data
  • A team player who is reliable, punctual and open to giving and receiving feedback
  • An excellent communicator able to engage comfortably and respectfully with diverse stakeholders
  • Must be fluent in English and at least one other official language of South Africa
  • Advantageous – familiarity with Xero, DEXT and SimplePay software
  • Advantageous – familiarity with Google Suite and project management software

Key responsibilities

1. Policies and processes:

  • Ensuring efficiency and effectiveness in organisational processes
  • Assisting with the development and implementation of company policies, including POPIA compliance
  • Drafting supplier and consultant contracts and assisting with oversight of these

2. Finance and procurement:

  • Upload payments onto the banking platform
  • Upload and capture invoices onto the accounting system
  • Track expenses per the approved budget
  • Assisting with basic financial management, such as generating and tracking invoices, preparing claims
  • Procuring and managing materials and resources for the office and our assessment kits.
  • Preparing and couriering data collection kits

3. Logistics and administration:

  • Organising meetings, workshops, webinars, and travel arrangements
  • Manage the CFO and ED’s calendars
  • Maintaining the shared Google folders and ensuring document management protocols are adhered to
  • Supporting the team with fieldwork planning and surveys
  • Minute-taking and ensuring accurate record-keeping

4. Additionally, as a core member of the DataDrive2030 team, you will be required to:

  • Participate in relevant team meetings and strategy sessions
  • Provide input into other processes and projects where your skill set is needed
  • Represent the organisation at relevant events
  • Uphold the values of the organisation
