Job Description
Main Purpose:
To provide a professional and comprehensive service to the CEO, that includes critical business-orientated support as well as secretarial and administrative support. Maintain high professional and ethical standards in dealing with strategically sensitive and confidential information.
Key Responsibilities:
- Provide and manage a sophisticated calendar management for the CEO while prioritising inquiries and requests, making judgements and recommendations to ensure smooth day- to-day engagements.
- Work closely with the CEO to keep them well-informed of upcoming commitments, responsibilities and following up appropriately.
- Execute and complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making local and international travel arrangements; and maintaining an electronic filing system and records including documents and minutes.
- Organize and prioritize tasks ensuring deadlines are met and follow-ups are completed.
- Maintain confidentiality and handle sensitive information with discretion.
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
- Handle and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Communicate with different levels in the organisation and acting as Ambassador of the CEO’s office.
- Other projects/duties as assigned for the overall benefit of the organization.

MINIMUM QUALIFICATION
- Matric
- 3 Year Secretarial Diploma or relevant Business Administration qualification
MINIMUM EXPERIENCE
- Minimum 5 -7 years’ work experience in a similar role
- Proven experience as an Executive assistant, or similar role supporting senior executives
- Exceptional planning and time management skills
- Excellent verbal and written communication skills in English
- Excellent interpersonal skills, customer service and conflict handling skills
- Comprehensive understanding of office management systems and applications – Advanced Word/ PowerPoint/ Internet (ability to do on-line bookings), Intermediate Excel
ADDITIONAL REQUIREMENTS
- Stress tolerance
- Understanding of Banking and HR environments will be beneficial
- Valid driver’s license
- High professional standards, discretion and confidentiality
- Ability to work and make decisions independently
