Duties:

  • Managing diaries on behalf of executives
  • Organising meetings and appointments
  • Screening and controlling access to the executives
  • Booking and arranging travel, transport and accommodation
  • Organising events and conferences
  • Reminding the executives of important tasks and deadlines
  • Clerical tasks for all senior-level staff members
  • Preparing financial statements, reports, memos, invoices letters, and other documents
  • Answering phones and routing calls to the correct person or taking messages
  • Handling basic bookkeeping tasks
  • Filing and retrieving corporate records, documents, and reports
  • Office tasks, including but not limited to handling office-management duties, data entry, answering phones, taking messages, taking minutes, sorting mail, maintaining and updating filing, operating office machines and arranging equipment maintenance and repairs
  • Organising reports and documents
  • Develop new, unique team-building ideas
  • Enhance the established company culture that reflects the corporation’s values
  • Collaborate with executive staff, resulting in strategic and informed decisions
  • Prepare and organise important legal and strategic materials and plans and support executives and senior management

Required:

  • Professional ethics – respecting work ethics by maintaining privacy and integrity between administrative duties
  • Professional discretion and confidentiality
  • Decision-making and organisation
  • Excellent communication skills, both verbal and written
  • Excellent time management skills
  • Well-developed organisational skills
  • Excellent computer skills
  • Attention to detail
  • Good organisational skills, particularly in diary management and scheduling
  • The ability to prioritise work according to deadlines, importance and urgency
  • Ability to multitask and prioritise tasks
  • Business diploma however degree is preferable
  • Advanced-level skills in Word for Windows and Microsoft PowerPoint, Access and Microsoft Excel
