Key Performance Output

The successful candidate, reporting to the Group Manager, Legal & Information Privacy, will be responsible for the following:

  • Perform and oversee office administration.
  • Replenish levels of stock, stationery and functional sundries in line with SCM processes.
  • Schedule and coordinate meetings in terms of invitations, conference rooms, catering etc.
  • Receive and host incoming visitors.
  • Transcribe record and distribute minutes of meetings to relevant parties.
  • Maintenance of documentation and document management system.
  • Management of master and archive documentation.
  • Assist in preparation of tender documentation and process as and when required.
  • Log functional activity and/or maintain the functional system.
  • Coordinate and extract reports from functional system to enable reporting of functional activities.
  • Conduct research to assist with the implementation of continuous improvement initiatives in functional area.
  • Conduct benchmarks and impact studies on completed initiatives.
  • Conduct inspections and audits of Contractor activity on site.
  • Oversee and coordinate the payment of functional suppliers.
  • Reconcile travel budget for functional area.
  • Track functional spend and ensure compliance to annual budget.
  • Ensure effective communication with stakeholders and ensure adherence to statutory regulations, organisational standards, policies and procedures. 
  • Report non-compliance and implement corrective actions to ensure compliance.

Technical Skills and Experience

The following skills and experience will be required: 

  • National Senior Certificate (Grade 12) is essential.
  • Relevant Diploma (NQF 6) is essential.
  • 2-3 years relevant Operational experience is essential. 
  • Must be proficient in MS Office packages.
