Full job description

  • Checks, controls, and ensures timely settlement of charges for services provided.
  • Verifying charges using established channels, sending Non-DOC invoices to region office for service PO creation and SES handling, forwarding DOC invoices and other payments which do not require service PO for timely settlement.
  • Handles various claims which fall within the Area’s limit of authority pursuant to company policy and procedure.
  • Prepares petty cash reports and sends to region office for approval.
  • Checks, countersigns and provides for final approval and payment of all Pay Authorities P-1 (including entering into the system), Authority to terminate employee P-3, Acting payment, expense reports, allowance payments, etc..,
  • Prepare salaries, conducts government tax declaration, and sends documents for timely settlement.
  • Communicates with payroll and compensation department in regard to payments related to salaries, wages, onetime payment, Perdiem, expense reports, etc..,
  • Follows-up the timely completion of performance appraisal of management and non-management personnel of the area.
  • Controls and follow-ups the accrued vacation status of employees.
  • Assists in the preparation of operational and capital budget.
  • Participates in the process of ACE implementation to maintain achieved level.
  • Keeps records of property and equipment and makes physical count every year.
  • Compiles the area’s overtime, sick leave, vacation, and productive or non-productive man-hours reports.
  • Prepares statistical presentations and major reports for governmental and public distribution as required.
  • Develops files, sorts and files documents alphabetically, numerically, and by other pre-determined methods.
  • Sorts and routes incoming mail and prepares materials for mailing.
  • Passes personal and important mails, letters, correspondence, etc. to superior and issues authorized ones to concerned offices or individuals.
  • Locates and extracts information and materials from files and conducts follow-up on pending items.
  • Keeps records and files pertinent to the office and ensures the availability of adequate supply of office items.
  • Enters and implements required data in the system (SAP etc ..) in accordance with the instruction and per established standard.
  • Maintains efficient communication and working relationship with the various concerned departments in headquarters.
  • Operates machines(computers) applicable to his/her duties.
  • Performs other related duties as may be assigned from time to time by the manager.
  • Maintains close contact with the section/Departments and other divisions on matters related to all administrative activities.

Required Qualification:

  • Diploma in Secretarial Services or related
  • Skills/Competencies:
  • Minimum of 2 years as a secretary, Admin Assistance or related positions
  • Brief Travel Industry knowledge and experience in an advantage(Airlines, Travel Agency….)
