The Role

We are currently seeking a motivated Data Capture Supervisor to join our Management Services Integrated Solution team in Cape Town. The successful candidate will play a critical role in overseeing and managing the activities of the team responsible for capturing and entering data (data capturers).

Key Responsibilities

  • Team Management: The supervisor is responsible for managing and leading the data capture team.
  • This includes assigning tasks, setting goals, and providing guidance and support to team members.a
  • They ensure that the team is adequately staffed and trained to perform their duties effectively; and highlight any training requirements.
  • Quality Control: The supervisor is responsible for ensuring the accuracy and quality of the data being captured by the team.
  • They establish and enforce data entry standards and protocols to maintain data integrity.
  • They conduct regular quality checks (as stipulated in the Standard Operating Procedures (SOPs) for the Task).
  • They provide detailed feedback and training to team members to improve their performance.
  • Workflow Coordination: The supervisor coordinates the workflow of the data capture team, ensuring that tasks are assigned and completed in a timely manner.
  • They prioritize and distribute work among team members based on deadlines and project requirements.
  • They also collaborate with their own supervisor to provide progress updates, discuss ongoing processes, and address any issues or discrepancies that arise.
  • Performance Monitoring and Reporting: The supervisor monitors the performance of the data capturing team, tracking productivity, accuracy, and adherence to established standards.
  • They generate reports outlining the team’s performance and identify issues and areas for improvement.
  • They provide feedback and performance evaluations to individual team members.Process and Improvement Opportunities: The supervisor will assist in the development of processes, as well as SOPs, for new data capturing tasks as they arise.They will recommend improvements to enhance efficiency, accuracy, and productivity, and update any SOPs accordingly.Problem-solving and Issue Resolution: The supervisor is responsible for identifying and resolving any issues or challenges that arise during data capture processes. They may troubleshoot technical problems, address data quality issues, and escalate complex or recurring problems to higher levels of management if necessary.

Recommended Qualifications, Skills, and Experience

  • A National Senior Certificate (NSC) or equivalent is desirable.
  • Data Entry Expertise: Strong proficiency in data entry techniques and the ability to enter data accurately and efficiently is essential. Knowledge of keyboard shortcuts, typing speed, and attention to detail are crucial skills for a Data Capturer Supervisor.
  • Leadership and Team Management: Effective leadership skills to manage and motivate a data capture team.
  • Communication: Excellent communication skills, both written and verbal, to effectively convey instructions, provide feedback, and liaise with team members.
  • Organization and Time Management: Strong organizational skills to manage multiple tasks and deadlines, prioritize work, and ensure timely completion of projects without compromising quality.
  • Problem-solving: Ability to identify and address issues and challenges that may arise during data capture processes.
  • Attention to Detail: A meticulous eye for detail to ensure accuracy and maintain data integrity.
  • Data Entry Experience: Prior experience in data entry or data capturing roles is highly beneficial.
  • Supervisory Experience: Previous experience in a supervisory or leadership role, preferably within a data entry or related field, is advantageous. Experience in managing a team, setting goals, and monitoring performance is valuable.
  • Technical Skills: Proficiency in MS Office (Excel, Word, PowerPoint and Outlook), database management systems, and data entry software.
