ADMINISTRATOR: SECRETARIAT (24-MONTH FIXED-TERM CONTRACT) X 3
The purpose of the job is to provide administrative and secretarial support to ensure effective and efficient service delivery as required.
As an Administrator in the Secretariat, you will be responsible for:
- Providing administrative support.
- Provide administrative support to office activities and operations to ensure efficiency and implementation of the operational plan and
compliance with organisational policies. - Prepare and submit timely reports and other administrative documents as assigned.
- Providing support to unit projects and functions.
- Participate in core project/tasks and operations.
- Provide inputs to documents as and when required.
- Coordinating and organising appointments for external & internal meetings and events. etc.
- Receive, prepare, manage & distribute meeting packs, transcribe minutes of meetings and distribute to relevant stakeholders.
- Facilitate internal and external events.
- Generating and maintaining the filing system.
- Generate and maintain the filing system to ensure safe and proper record keeping.
- Handling incoming and outgoing correspondence.
- Respond to general queries, handle phone calls and all related correspondence.
- Management of Action Plans and coordination of training and development activities for Council members.
- Providing assistance with procurement processes and requisitions.
- Diary management.
- Keeping databases in check and updated on a regular basis.
- Undertaking assignments/tasks allocated by the line manager in accordance with CMS’ operational requirements.
SKILLS AND KNOWLEDGE BASE
The successful candidate will have the following essential qualifications, competencies, and skills: - National Diploma / Advanced Certificate in Administration or any other relevant equivalent qualification at NQF Level 6; and
- Minimum of five (5) years administrative/secretarial experience serving governance structures.
Training, Knowledge areas, Technical Skills, and Behavioural Attributes: - Office administration and project administration knowledge.
- Knowledge of related legislation (PFMA, POPI Act, SCM regulations, etc.).
- Attention to detail, assertiveness, taking initiative, time management and reliability.
- Customer centricity, interpersonal and business communication (written and verbal).
- Report drafting and minute taking.
- Multitasking, planning, and organising.
- Computer Literacy.
