We are currently seeking a South African Office Manager to oversee the operations of a growing remote psychiatric practice. As the Office Manager, you will supervise a team of four virtual assistants, handle patient screenings, and oversee various administrative tasks crucial to the smooth running of the practice. This role is ideal for a highly organized, proactive individual with a strong background in office management, communication, and team leadership.

Responsibilities:

  • Supervise and manage a team of four virtual assistants, ensuring all tasks are completed efficiently and on time.
  • Screen and conduct calls with potential patients, guiding them through the initial inquiry process and providing basic marketing information.
  • Assist in writing and managing sales emails, email marketing campaigns, B2B communications, and follow-up emails to non-responders.
  • Oversee the completion of administrative tasks such as preparing patient notes, managing patient documents, and ensuring all paperwork is properly organized.
  • Handle patient-related calls for medication refills, prescription inquiries, and coordinate prior authorizations for medication denials with pharmacies and insurance companies.
  • Monitor and report on team performance, ensuring tasks are on track and providing updates to the business owner on task completion and progress.
  • Help virtual assistants with writing emails, organizing documents, and managing day-to-day administrative duties.
  • Assist in managing the practice’s online presence and virtual office tasks, ensuring smooth operations.

Requirements:

  • Experience in office management or team leadership, ideally with a background in healthcare or psychiatry-related administrative support.
  • Strong verbal and written communication skills in English.
  • Cultural competence and ability to interact with a diverse, international team.
  • Familiarity with medical terminology, handling insurance paperwork, and managing patient documentation is a plus.
  • Proficiency in using G-suite, Zoom, and other virtual collaboration tools.
  • Experience in sales emails, email marketing, and managing B2B communications.
  • Strong organizational skills, attention to detail, and ability to work independently.

Education and Experience:

  • Prior experience in office management or virtual assistant roles (preferably 1+ years).
  • Familiarity with the healthcare industry is an advantage.
  • Experience working remotely or with international teams is a plus.
