Purpose of this role: We are seeking a highly skilled, proactive, and personable Virtual Personal Assistant to support the owner of a growing U.S.-based outdoor living design and construction company. This individual must be fluent in English (spoken and written). Spanish would be an advantage. They must possess strong communication, time management, and organizational skills. You will act as the owner’s gatekeeper and right-hand assistant, ensuring that communication, scheduling, and priority management runs smoothly and efficiently.

Key Responsibilities:

Communication Management

  • Screen phone calls to the company, relay messages accurately, and handle follow-ups.
  • Manage and filter emails to ensure the owner only sees important and relevant messages.
  • Draft clear, professional communication on behalf of the owner.
  • Represent the owner and company with professionalism and friendliness in all interactions.

Schedule & Calendar Management

  • Maintain and organize the owner’s daily and weekly calendar.
  • Schedule meetings, calls, appointments, and reminders for both personal and business tasks.
  • Prioritize tasks from high to low importance and update the owner accordingly.

Task & Project Support

  • Create and manage to-do lists with clearly defined priorities.
  • Upload and organize business or personal documents accurately and on time.
  • Anticipate upcoming needs and take initiative without waiting for instruction.

Administrative Excellence

  • Handle confidential business and personal information with discretion and integrity.
  • Keep digital files, documents, and notes organized and accessible.
  • Use email, spreadsheets, project management tools, and virtual meeting platforms effectively.

Required Skills & Traits:

  • Fluent English – excellent written and verbal communication
  • Spanish advantageous
  • Strong Interpersonal Skills – friendly, service-minded, and professional
  • Detail-Oriented – spots typos, catches scheduling conflicts, and keeps things clean and organized
  • Resourceful & Independent – solves problems and finds answers without constant oversight
  • Technologically Savvy – comfortable with digital tools like Google Workspace, Zoom, ClickUp, or similar
  • Time Management Pro – prioritizes tasks effectively and respects deadlines
  • Positive Attitude – consistently brings good energy, stays calm under pressure, and is pleasant to work with
  • Trustworthy & Discreet – handles sensitive information responsibly and maintains confidentiality

Schedule & Availability:

  • Full-time, remote role (Monday–Friday)- Must be available during U.S. Eastern Daylight Time hours (preferably 9:00 AM–5:00 PM EDT)
