We are hiring a South Africa based Virtual Assistant to act as our dedicated Call Handler and Job Booking Coordinator. This role is ideal for a VA who works with a small number of clients and is looking for a reliable monthly retainer.

This is a focused role. Your primary responsibility is to answer every call and enquiry that comes in, book jobs correctly, and ensure nothing is missed. You must not be overstretched with too many other clients, as responsiveness is critical to this role.

You will be the first point of contact for customers and your performance will be judged on how many jobs are successfully booked and how quickly you learn and understand the business.

Key Responsibilities

  • Answer all inbound customer calls professionally and confidently
  • Make outbound calls to follow up on missed calls and enquiries
  • Ensure every enquiry is responded to and logged
  • Book jobs accurately using Tradify
  • Speak with customers to reschedule appointments when required
  • Learn and understand our different brands and the UK areas they cover
  • Allocate jobs logically based on partner availability and location
  • Where possible, book jobs in the same area on the same day for partners already working locally
  • Ensure partners covering multiple areas are not booked into different locations on the same day
  • Monitor daily schedules to ensure all available capacity is used
  • Flag booking issues or conflicts to management when needed

Skills & Experience

  • Fluent English with a clear, confident telephone manner
  • Strong customer service skills and comfortable speaking with customers all day
  • Highly organised with strong attention to detail
  • Comfortable using booking systems and CRMs, Tradify experience is a bonus
  • Logical thinker with good geographical awareness
  • Reliable, consistent, and able to commit to answering all calls and enquiries during working hours
  • Suitable for a VA managing a small number of clients, not high volume multitasking

Hours & Pay

  • Full-time availability, Monday to Friday
  • Working hours aligned to UK business hours
  • Pay: £400 per month, approximately R8,700 to R9,100 per month, depending on exchange rates
  • Paid monthly
  • Fixed retainer style role

Performance Expectations

Performance will be measured on:

  • Calls and enquiries answered
  • Number of jobs successfully booked
  • Speed of learning and understanding how the business operates
  • Consistency and reliability during working hours
