St Paulus is Hiring a PERSONAL ASSISTANT (PA) TO THE PRINCIPAL in Pretoria

The school is looking to appoint a full-time, highly organised, professional and dynamic PA to the Principal. This role requires a proactive individual who can provide high-level administrative, logistical, and communication support, while upholding the ethos of the school. Please note that consideration will only be given to candidates with the following:

QUALIFICATIONS AND EXPERIENCE

  • A relevant diploma or degree in Administration, Office Management, HR or related field.
  • A minimum of 3 years’ relevant experience in a PA, Executive Assistant or Senior Administrative role.
  • Prior experience in a school environment will be advantageous.

SKILLS AND COMPETANCIES

  • Advanced ICT skills with strong proficiency in MS Office and Google Workspace.
  • Excellent organisational and time-management skills with the ability to manage multiple priorities.
  • Strong verbal and written communication skills, with accuracy and attention to detail.
  • English and Afrikaans proficiency.
  • Professional interpersonal skills with the ability to liaise confidently with all stakeholders.
  • Discretion, confidentiality, and integrity in handling sensitive matters.
  • Problem solving, with the ability to anticipate needs pro-actively.
  • HR administration knowledge and skills would be advantageous.
  • Ability to work independently and as part of a proactive admin team.
  • Confidence to take charge of difficult situations, work under pressure and meet deadlines.
  • Practicing Catholic or thorough understanding of Catholicism.
  • Willingness to participate in the broader life of the school and uphold Catholic ethos.
  • A valid Criminal Clearance Certificate

JOB DESCRIPTION (not an exhaustive list)

  • Manage the Principal’s diary, meetings, and communications, ensuring effective prioritisation of tasks.
  • Serve as the first point of contact for staff, parents, and external stakeholders, ensuring professional communication.
  • Prepare agendas, minutes, reports, and correspondence on behalf of the Principal.
  • Co-ordinate and support school calendar events, Board meetings, assemblies, and other key functions.
  • Provide administrative HR support.
  • Assist with Board governance requirements, maintaining statutory documentation and confidential records.
  • Ensure the smooth operation of the Principal’s office by anticipating needs, streamlining processes, and maintaining organisation.
  • Handle sensitive issues with the utmost confidentiality and professionalism.
  • Support strategic projects, school-wide initiatives, and committees as delegated.
