St Catherine’s School is Hiring a PERSONAL ASSISTANT TO THE HEAD OF SCHOOL in Johannesburg

The school seeks to appoint a full-time, highly organised, professional and dynamic PA to the Head of School. This role requires a proactive individual who can provide high-level administrative, logistical, and communication support, while upholding the Ethos of the school. Please note that consideration will only be given to candidates with the following:

QUALIFICATIONS AND EXPERIENCE

  • A relevant diploma or degree in Administration, Office Management, HR, or related field.
  • A minimum of 3 years’ experience in a Personal Assistant, Executive Assistant, or Senior Administrative role.
  • Experience within a school environment will be a distinct advantage.

SKILLS AND COMPETENCIES

  • Advanced ICT skills with strong proficiency in Microsoft Office applications.
  • Excellent organisational and time-management abilities, capable of handling multiple priorities efficiently.
  • Exceptional written and verbal communication skills, with meticulous attention to detail.
  • Professional interpersonal skills and the confidence to liaise effectively with all stakeholders.
  • Discretion, confidentiality, and integrity in managing sensitive matters and information.
  • Strong problem-solving skills and the ability to anticipate needs proactively.
  • HR administration background and knowledge, including hands-on experience with HR processes and employee records, would be advantageous.
  • Ability to work independently as well as collaboratively within a proactive administrative team.
  • Confidence and composure in managing challenging situations, working under pressure, and meeting deadlines.
  • A practicing Catholic or a thorough understanding of Catholic values and ethos.
  • Willingness to participate in the broader life of the school and uphold its Catholic ethos.
  • A valid Police Clearance Certificate is required.

JOB DESCRIPTION (not an exhaustive list)

  • Manage the Head of School’s diary, meetings, and correspondence, ensuring effective prioritisation of tasks and follow-up.
  • Serve as the first point of contact for staff, parents, and external stakeholders, always maintaining professional and courteous communication.
  • Prepare agendas, minutes, reports, and correspondence on behalf of the Head of School.
  • Coordinate and support school calendar events, Board meetings, assemblies, and other key functions.
  • Provide administrative HR support, including:
    • Maintaining staff records and confidential personnel files.
    • Assisting with recruitment and onboarding processes.
    • Supporting performance management, disciplinary, and grievance procedures as required.
    • Coordinating staff training and professional development schedules.
  • Assist with Board governance requirements, ensuring compliance and proper record keeping.
  • Ensure the efficient operation of the Head of School’s office by anticipating needs, streamlining administrative processes, and maintaining strong organizational systems.
  • Handle confidential and sensitive issues with professionalism and discretion.
  • Support strategic projects, school-wide initiatives, and committees as delegated.
  • Draft and maintain standard operating procedures (SOP’s) for HR and office administration processes.
  • Draft, review, and maintain school Policies and Procedures, ensuring compliance with legislation and alignment with the school’s ethos and operational requirements.
