The school wishes to appoint a suitably qualified and experienced individual to the position of School Shop Administrator
Purpose of the Role:
The School Shop Administrator is responsible for the efficient and effective operation of the school shop, ensuring it meets the needs of students, staff, and parents. This role involves managing inventory, processing sales, maintaining accurate records, and providing excellent customer service.
Responsibilities:
Customer Service & Sales
- Welcome and assist students, parents, and staff with uniform and merchandise selection.
- Ensure customers are guided on correct sizing and school uniform policy.
- Process sales, returns, and account transactions accurately using the POS system.
- Respond to customer inquiries, complaints, and special orders professionally.
Inventory Management
- Receive, unpack, and label new stock.
- Maintain a goods received system which timeously and accurately notifies the Accounts Department of all new stock received.
- Maintain attractive and organised displays.
- Monitor stock levels and assist with regular stock counts and reconciliation.
- Establish minimum stock levels for each product line.
- Purchase replacement stock timeously and thoughtfully, based on recommended stock levels, sales history, seasonal demands and any operational changes or updates.
- Report damaged items, or discrepancies
- Support order fulfilment and internal requests.
- Maintain professional relationships with the Shop’s suppliers.
- Establish/maintain a pool of suppliers who do not compromise on cost effectiveness or quality.
- New suppliers to be sourced as and when appropriate.
Shop Operations
- Open and close the shop following school procedures.
- Operate and troubleshoot POS systems and basic office equipment.
- Ensure compliance with school policies and security protocols.
Communication & Collaboration
- Liaise with management and relevant departments (Finance, Admin, Sport) regarding operations, billing, and uniform policies.
- Provide feedback and updates on customer experiences and stock issues.
Administrative Support
- Perform ad hoc administrative duties as required.
- Assist with scheduling, reporting, and documentation related to shop operations.
Key Requirements and Qualifications
Minimum Qualifications
- High School Diploma or equivalent.
Experience
- Previous experience in retail, customer service, or administrative roles is advantageous.
- Familiarity with POS systems and basic inventory processes.
- Experience in a school environment is advantageous.
Skills and Attributes
- Excellent interpersonal and communication skills (verbal and written).
- Strong numerical skills and attention to detail.
- Proficiency in Microsoft Office
- Friendly, professional, and patient demeanor.
- Team player with the ability to work independently.
- Flexible working hours, including occasional Saturdays and adjusted break times during peak periods.
- Ability to manage high-pressure situations during busy trading times.
- Computer literate and comfortable with digital systems.
- Passion to deliver a high- level of service.
- Ability to manage pressurized peak trading times in The School Shop
