ROLE: Fulfillment Specialist

As a Fulfillment Specialist, you’ll be the person responsible for getting world class results for our clients—owners of small-to-midsized tree service companies who are ready to scale their businesses. Your job is to ensure they see real results and feel supported every step of the way.

You’ll collaborate closely with our team to determine prime areas for direct mail targeting, analyze previous results and ensure there are not issues in the process. Whether you’re guiding clients through onboarding, addressing questions, or ensuring they meet their growth goals, you’ll play a vital role in their success—and ours.

What You’ll Do

Campaign Execution

• Select USPS Every Door Direct Mail (EDDM) routes tailored to client objectives.
• Prepare and manage shipping labels, coordinating with printers to meet deadlines.
• Ensure campaign materials are adapted for each client and executed flawlessly.

Data Accuracy & Reporting

• Audit and maintain accurate client data in Airtable, ensuring every detail is correct.
• Track leads and performance metrics using Airtable and HighLevel.
• Generate internal reports to summarize results and identify areas for improvement.

Problem Solving & Client Support

• Resolve operational issues such as delayed shipments or data discrepancies.
• Communicate effectively with internal teams, printers, and clients to address concerns.
• Partner with Client Success Managers (CSMs) to ensure client goals are met and retention is maximized.

Monthly Reporting:

• Deliver branded, data-driven reports that highlight campaign successes and results. Use these to communicate value, celebrate wins, and identify areas for growth.

Research & Strategy:

• Continuously seek ways to improve our services and identify opportunities to help clients achieve their goals faster.
• Stay up to date with tools and trends to provide proactive, insightful support to our team.

Process Management:

• Use tools like Slack, ClickUp, Go HighLevel, and our internal systems to track updates, client activities, and timelines with precision.
• Ensure timely follow-up on all client requests, issues, or concerns—same day or first thing the following morning.

WHAT YOU NEED

• 2+ years of experience in marketing, fulfillment, or related field
• Exceptional communication skills—you can explain ideas clearly and build strong relationships with clients.
• Ability to self-direct and manage your time effectively in a fully remote work environment.
• Strong organizational skills with strict attention to detail.
• Emotional intelligence, problem-solving abilities, and the ability to de-escalate situations with professionalism.
• Experience using project management and communication tools like Slack, ClickUp, or similar platforms.

Availability:

• Monday to Friday, 8 AM to 5 PM MST. Occasional flexibility for extra hours if needed.
