ROLE OVERVIEW

The Logistics Coordinator will be responsible for the end-to-end event logistics, ensuring venues, vendors, sponsors, and payments are coordinated accurately and on time. This role is ideal for a South Africa–based professional comfortable working remotely during UK business hours

KEY RESPONSIBILITIES

Event & Venue Logistics

  • Liaise with hotels to source and secure event venues as per agreed timelines
  • Coordinate meeting rooms, AV requirements, catering, and accommodation
  • Manage logistics communication with hotel event teams
  • Ensure all venue logistics are confirmed in advance

Vendor & Payment Coordination

  • Coordinate logistics with AV suppliers, caterers, and vendors
  • Track contracts, invoices, and costs
  • Ensure timely payment of all vendors including hotels and service providers
  • Maintain accurate logistics and payment records

Sponsor Logistics

  • Liaise with sponsors regarding event materials and branding
  • Ensure sponsor materials are delivered pre-event and managed post-event
  • Coordinate shipping and return logistics

General Logistics Support

  • Support event timelines and logistics checklists
  • Assist with live or virtual event logistics
  • Resolve logistics issues efficiently
  • Liaise with service providers critical to the business process
  • Coordinate and communicate with sponsors and vendors to ensure timely execution of deliverables
  • Manage direct communications with event registrants to reconfirm attendance ahead of scheduled events

REQUIRED SKILLS & EXPERIENCE

  • 1–2 years’ experience in event logistics, event coordination, or hospitality
  • Experience liaising with hotels and vendors
  • Strong organisational and administrative skills
  • Ability to manage multiple deadlines
  • Fluent in spoken and written English
  • Comfortable working UK business hours
