Purpose of the Position

The Clearance Administrator plays a key role in ensuring a smooth transfer process for units managed by ANGOR. This includes providing clearance figures to stakeholders, maintaining accurate records, and liaising with attorneys, banks, colleagues, and management to facilitate seamless transactions.

Key Responsibilities

  • Provide clearance figures to transferring attorneys for unit sales.
  • Maintain accurate records, filing, and archiving related to transfers.
  • Update system information to reflect unit sales and transfers.
  • Handle transfer-related queries and ensure timely communication.
  • Adhere to the Return Call Policy when managing stakeholder interactions.
  • Process refunds to ex-owners where applicable.

Reporting Line

Reports to the Property Management Support Division Accountant.

Detailed Responsibilities & Requirements

CLEARANCE FIGURES              

  • Receiving instructions for transfer of unit from attorneys
  • Adding instruction on intelliAcc system
  • Liaising with DMS and/ or Otto Krause and PM Department with regards to legal fees to be included in requested figures
  • Calculating clearance figures for the period requested
  • Generating the clearance figures via the system

PAYMENT CONFIRMATION      

  • Issuing Clearance Certificate upon confirmation of receipt of payment

CLIENT LIAISON

  • Following up on a regular basis with the transferring attorney and PM Department with regards to outstanding clearances

REGISTRATIONS            

  • Updating owner details on the system
  • Processing adjustments on previous and new accounts upon transfer

REFUNDS         

  • Calculate refund due +- 6 weeks after transfer
  • Instruct PS to pay refund credit balances due to ex- owner

QUERIES

  • Assisting clients and transferring attorneys with telephonic and emailed queries in a timeous and efficient manner

INFORMATION MANAGEMENT

  • Storing, maintaining and retrieving information on company server, Zoho and accounting system as appropriate
  • Updating outstanding folder/ file on a regular basis

GENERAL          

  • Any duty/ task reasonably assigned by management

MINIMUM QUALIFICATION

  • The applicant must have completed a minimum of Matric and have an excellent command of English as written and spoken language.
  • Previous experience in the property industry, with specific reference to the generation of clearance figures will be advantageous.

WORKING CONDITIONS

  • The applicant will be based in an open plan office or working remotely as per company specifications and schedules, and will be faced with constant interruptions from different role players .
  • There are expected turn- around times within this position, which may cause the applicant stress. The applicant is further required to work accurately with a minimum tolerance for data entry and/ or calculation errors.
  • The applicant will be required to deal with a wide variety of personalities on various matters.
