Newton Media delivers high-quality B2B conferences and events across global markets. We are looking for a highly organised and detail-driven Event Operations Admin Assistant to support our UK events team.

This is a freelance, home-based role in South Africa, ideal for someone early in their events career who wants hands-on experience in event operations, logistics, and administration within a fast-paced B2B environment.

About the Role

You will play a key part in the smooth planning and delivery of our event portfolio, providing critical back-office and logistical support. Reporting to senior events staff in the UK, you will help maintain documentation, coordinate suppliers, manage event deliverables, and support the operations workflow from planning through to execution.

This role requires exceptional organisation, accuracy, communication skills and the ability to manage multiple deadlines at once.

Key Responsibilities

Administrative & Logistics Support

  • Maintain accurate event documentation, trackers, schedules, and shared files.
  • Collect and manage sponsor and speaker materials (bios, headshots, logos, deliverables).
  • Update event websites with programme content, speakers, and sponsor profiles.
  • Prepare and distribute marketing collateral and operational materials.
  • Organise couriers, shipments, and printing of event materials.

Supplier & Stakeholder Liaison

  • Liaise with suppliers for quotes, confirmations, and basic logistical coordination.
  • Communicate with sponsors and speakers to ensure timely delivery of required assets.
  • Provide updates to internal teams (marketing, editorial, sales) on event progress.

Finance & Reporting

  • Maintain accurate financial records and support budget tracking.
  • Process invoices and ensure correct documentation.
  • Contribute to weekly progress reports and flag risks or delays

Essential Skills & Experience (must-have)

  • 1+ year experience in events, logistics, administration, or similar.
  • Strong website content management skills (regular editing & updating).
  • Experience with HTML or basic coding is a significant advantage.
  • Outstanding organisational skills and high attention to detail.
  • Confident communicator; able to liaise with suppliers, sponsors, and internal teams.
  • Ability to juggle multiple deadlines and remain calm under pressure.
  • High degree of accuracy in executing event logistics.
  • Proficiency in Microsoft Office, especially Excel.
  • Experience with event or project management systems.
  • Proactive, collaborative, and eager to learn.
  • Set up to work from home.

Desirable (nice-to-have)

  • Experience in events, media, or B2B publishing.
  • Familiarity with event tech platforms (e.g., Bizzabo).
  • Experience with CRM/supplier management systems.
  • Basic understanding of contracts and supplier agreements.
  • Canva, PowerPoint, Gmail proficiency.
  • Creative problem-solving and an eye for design.
