Administrative Manager Job Vacancy in Johannesburg at Ubuntu Pathways
The Administrative Manager is responsible for overseeing all non-academic functions of Ubuntu School, supervising staff who manage administration, operations, community engagement, and wellness. This role ensures smooth coordination of daily school systems and supports the Principal by handling operational leadership, leaving academic staff free to focus on teaching and learning.
The Administrative Manager is a facilitator and team leader — not a Head of Department — ensuring tasks are completed, systems run effectively, and the school community experiences consistency, reliability, and professionalism in all non-academic aspects.
Primary Responsibilities
Leadership & Coordination
- Supervise and performance-manage the Administrator, Operations Coordinator, Community Engagement Coordinator, and Wellness Practitioner.
- Align non-academic staff priorities with the Principal’s vision and school-wide goals.
- Convene regular coordination meetings with non-academic staff to ensure alignment.
- Provide progress reports and flag major operational issues to the Principal.
Operational Oversight
- Ensure smooth daily logistics including attendance systems, facilities, supplies, technology availability, transport, and scheduling.
- Monitor compliance with safety, safeguarding, and reporting requirements.
- Troubleshoot operational issues and implement systems improvements.
- Co-ordinate the organisation, facilitation and smooth running of field trips, after school activities off site and school events
- Coordinate the smooth running of examination periods – overseeing the effective preparation and storage of examinations as well as trouble shooting during exam windows.
Family & Community Engagement
- Oversee family engagement initiatives to ensure they are consistent, inclusive, and effective.
- Ensure parent and community communications are clear, timely, and aligned to the school’s ethos.
- Support event planning and coordination for school-wide activities and celebrations.
Student Support & Wellness
- Support the Wellness Practitioner in embedding student well-being initiatives.
- Ensure discipline systems and student support programs are implemented consistently and in line with the Principal’s vision.
- Oversee alignment between operational and wellness teams to promote a safe, supportive environment.
Systems & Reporting
- Uses dashboards and reporting systems to track enrollment, student data, attendance, engagement, wellness, and operations.
- Oversee the smooth capturing of marks and running and printing of reports cards, as well as overseeing SA-SAMs compliance.
- Consolidate reports from staff and present summaries to the Principal.
- Ensure administrative tasks (such as record-keeping, permits, and compliance forms) are completed accurately and on time.
Profile of the Position
Education Required
- Bachelor’s degree or diploma in Administration, Education Management, or related field.
Experience
- Minimum 3 years’ experience in school administration, operations management, or non-profit management.
- Demonstrated supervisory experience.
Skills
- Strong organizational and team management skills.
- Excellent written and oral communication (English required; isiXhosa preferred).
- Strong problem-solving and coordination abilities.
- Comfortable with technology (Google Workspace, spreadsheets, reporting dashboards).
- Ability to prioritize multiple streams of work and meet deadlines.
